Refund and Event Cancellation Policy

Effective date: 19 June 2026

Refund and event cancellation policy for VIP Tickets Access intermediary hospitality transactions.

1. General Principle

Because Põhja Konstellatsioon Hospitality OÜ acts as an independent intermediary and does not organise events, refund availability may depend on the organiser, supplier, hospitality provider, or other relevant source.

2. Client-Initiated Cancellation

After a binding contract has been concluded and payment has been made, the client may not automatically cancel the transaction or obtain a refund merely because the client's personal circumstances have changed.

  • inability to travel;
  • failure to obtain a visa;
  • illness or personal emergency;
  • change of plans;
  • business schedule changes;
  • dissatisfaction with team qualification, event timing, or location;
  • failure to use valid tickets or access documents.

3. Event Postponement or Rescheduling

If an event is postponed or rescheduled, the package will normally remain valid for the new event date where the organiser, supplier, or hospitality provider confirms validity.

A postponement or change of time does not automatically create a refund right unless the accepted contract, supplier terms, organiser policy, or mandatory law provides otherwise.

4. Event Cancellation

If an event is cancelled and no replacement event or equivalent access is made available, we will take reasonable steps to request any refund or credit available from the relevant supplier or organiser.

Any refund to the client may be limited to the amount actually received by us from the supplier, organiser, or other relevant source.

We are not obliged to advance funds before receiving a corresponding refund.

5. Material Failure of Supply

If, after a binding contract is formed, the agreed tickets or access documents cannot be supplied and no reasonable replacement is provided, the remedy will be determined by the accepted contract, supplier terms, these policies, and mandatory applicable law.

Where legally required, a refund may be due for failure to deliver the contracted service and no reasonable replacement is provided.

6. Intermediary and Service Fees

Our intermediary fee, service fee, administrative fee, payment-processing costs, and other charges may be non-refundable where the intermediary service has already been performed, a supplier commitment has already been made, irreversible costs have been incurred, the amount is not refunded to us, or the accepted contract states that the fee is non-refundable.

This applies only to the extent permitted by mandatory law.

7. Refund Processing

Approved refunds will be made using the original payment method where reasonably possible.

Processing times may depend on receipt of funds from the supplier, payment-provider procedures, banking systems, compliance checks, currency conversion, chargeback or dispute procedures.

8. No Guarantee of Supplier Refund

We cannot guarantee that an organiser or supplier will approve or pay a refund.

We will nevertheless make reasonable efforts to communicate with the relevant supplier and keep the client informed.

9. Mandatory Rights

Nothing in this policy excludes or restricts any consumer right that cannot legally be waived.
